TOURNAMENT AND ACTIVITY PARTICIPATION GUIDELINES

At V7PADEL, we come together for great games and good company. Respecting each other’s plans helps us start on time, make sure everyone has partners and opponents, and keep things running smoothly.
These guidelines apply to everyone taking part in the club’s tournaments and activities. They help us look after the games and atmosphere you come here to enjoy.
1. IF YOUR PLANS CHANGE
Please let the club know if you need to cancel. The sooner we hear from you, the more time we have to find another player and keep the line-up complete.
24 hours or more before the start
You can cancel free of charge. Cancellations made exactly 24 hours before the start are also free.
Less than 24 hours, but at least 12 hours before the start
If you find a replacement yourself, please send the club the new participant’s details. The replacement is confirmed once the club has approved it, and the new player takes your place. Cancellations made exactly 12 hours before the start fall into this category.
Less than 12 hours before the start, without a replacement
The full participation fee is payable. By this point, the club is already preparing the activity with you in the line-up, and finding another player at short notice can be difficult. An unfilled place may affect other participants’ games.
We will help you look for a replacement where possible, but we cannot guarantee that one will be available. Arranging a replacement remains the responsibility of the player who is cancelling.
2. IF YOU DO NOT ATTEND AND HAVE NOT LET US KNOW
If a player does not attend and has not cancelled before the activity starts, we record this as a no-show. The other participants are counting on the confirmed line-up, and the club no longer has time to rearrange the games in advance.
First time
The full participation fee is payable. We will remind you of the cancellation policy and explain what happens if this is repeated.
Second time
The full participation fee is payable, and a second no-show is recorded in the club’s system.
Third time
The full participation fee is payable. You will be unable to sign up for tournaments and activities for 30 days. This helps ensure that other players can rely on the confirmed line-up.
After those 30 days, you can sign up again under the usual conditions.
3. IF YOU ARE RUNNING LATE
Please plan your arrival so that you are at the club by the activity’s scheduled start time. Arriving after that time counts as being late: even a short delay can affect other participants’ games.
First late arrival
We will give you a verbal reminder about the start time and explain the policy on repeated late arrivals.
Second late arrival
We will make an internal note in the club’s system.
Third late arrival
You will be unable to participate in that particular tournament or activity format for 14 days.
If you are more than 15 minutes late and have not notified the club, this counts as a no-show and the conditions in Section 2 apply. If you have let the club know in advance that you will be delayed, it is recorded as a late arrival.
The activity’s finishing time remains unchanged. Arriving late does not extend your playing time or entitle you to compensation.
4. IF THE CLUB NEEDS TO CANCEL AN ACTIVITY
We aim to run our scheduled activities. Having fewer participants than required is not, on its own, a reason to cancel.
However, weather conditions, an unsafe court, a technical fault or other force majeure circumstances may make cancellation necessary. In these situations, participants’ safety comes first.
Where circumstances allow, we will notify you at least 1 hour before the scheduled start.
If an activity you have paid for does not take place, 100% of the amount paid will be credited back to your club balance for future use.
5. IF PLAY NEEDS TO BE STOPPED
The club staff member in charge makes the final decision on whether play can start or continue. This allows us to assess conditions consistently for everyone and respond to risks promptly.
If, after an activity has started, a particular court becomes unplayable or unsafe due to rain, damage to the court or equipment, broken glass or another objective reason, we will stop play on that court.
If the other courts remain safe, play will continue on them. The compensation terms below apply only to the players who were playing on the affected court when play was stopped.
We will first try to move the interrupted match to another available court or reschedule it for another available time. If this is not possible, the players whose game was stopped will receive the following credit:
Less than 1 hour played
100% of their participation fee will be credited back to their club balances.
1 hour or more played
50% of their participation fee will be credited back to their club balances.
All compensation is issued as club credit for future use, rather than as a monetary refund.
6. IF YOU CHOOSE TO FINISH EARLY
If you choose to stop participating for personal reasons after the activity has started, no compensation is provided. Your place and court time have already been included in the arrangements for the activity.
7. IF THE NUMBER OF PARTICIPANTS CHANGES
If the actual number of participants differs from the planned number, the club may adjust the format. This helps us run the activity with the players who are present.
8. RESPECT FOR PEOPLE AND OUR CLUB
We create the V7PADEL atmosphere together. Please treat other players and staff with respect, follow the safety rules and take care of the club’s facilities and equipment.
Aggression, threats, insults, deliberate damage to property and behaviour that disrupts an activity are not acceptable. Everyone should feel comfortable and safe at the club.
First breach of these guidelines
We will address the behaviour and give a reminder that our standards of respectful communication and conduct must be followed.
Second breach
We will record the repeated breach in the club’s system.
Third breach
You will be unable to participate in tournaments and activities for 30 days.
Physical aggression, threats, deliberate damage to property or actions that put anyone’s safety at risk are grounds for ending a player’s participation immediately, without compensation. In these situations, we need to act straight away to protect other participants and staff.
9. IF SOMETHING UNEXPECTED HAPPENS
We understand that some circumstances cannot be planned for. The club reviews confirmed medical situations and other confirmed force majeure circumstances individually.
Please let us know what has happened and provide supporting evidence. After reviewing the circumstances, the club will decide how the cancellation and payment rules apply to your situation.
10. OUR SHARED AGREEMENT
By signing up for a V7PADEL Antalya tournament or activity, you confirm that you agree to these guidelines. They apply equally to all participants.
Thank you for respecting each other’s time and helping everyone enjoy their game. See you on court!
